We're currently looking for a People & Culture Coordinator to cover a 12-month parental leave and keep our Stockholm office and the people in it running smoothly.

Reporting to Head of Employee Experience, you'll manage everything that keeps our office of around 50 colleagues safe, functional, and well-stocked, make sure teams have the IT and gear they need, keep our HRIS up to date, and help run the moments that make Fishbrain a great place to work.

This is a hands-on, on-the-ground role. You'll be the first person colleagues turn to when something in the office needs sorting, the steady hand behind invoices, supplies, and access running quietly in the background, and a driving force behind onboarding, offboarding, and the events that bring the team together. It's a role for someone reliable, organized, and genuinely useful to the people around them.

This is a 12-month parental leave cover.

What you’ll be working on

Office management

• Ensure a safe, functional, and welcoming workspace for around 50 colleagues

• Handle office administration, including invoices and incoming/outgoing mail

• Manage office supplies, including snacks and beverages

• Oversee the alarm system and manage office access (keys/passes)

• Coordinate cleaning services and act as the main point of contact for facility vendors and building management

IT support & equipment

• Provide first-line IT support to colleagues in the Stockholm office

• Make sure teams have the gear they need, ordering, setup, and inventory of equipment

• Coordinate with external IT vendors or partners when needed
  

HRIS administration

• Handle day-to-day administrative tasks in BambooHR, our HRIS

• Keep employee records accurate and up to date

People & Culture / employee experience

• Plan and run company events and after-work socials (AWs)

• Support onboarding and offboarding flows for new joiners and leavers

• Contribute ideas and hands-on support to make everyday life at Fishbrain better

• Participate in and plan the systematic work environment management
  

What we’re fishing for

• 1-2 years of experience in office management, coordination, or a similar operations/admin role

• Comfortable juggling varied, hands-on tasks and switching between them without losing quality

• Organized, proactive, and a natural point of contact. People know they can come to you to get things done

• Experience with an HRIS (BambooHR or similar)

• Fluent in Swedish and English, you'll deal with local vendors, building management, and an international team
